WHAT YOU’LL DO

We are currently seeking a Head Office Management- Teamassistant (f/m/d) for our act.3 headquarters located in Herzogenaurach. With the upcoming significant sports events in 2024 and our expanding business, we require additional support in our Head Office for organizational and administrative tasks.

As the selected candidate, your primary responsibility will be assisting the Personal Assistant to our CEO with administrative duties and overseeing the day-to-day operations essential for the smooth functioning of the Head Office.

We are seeking an individual who possesses excellent communication skills, efficiency, and a strong alignment with our brand and strategy. Your contributions will play a crucial role in fostering a positive working environment as part of our ‚happy working places‘ strategy. Additionally, having a flexible and adaptable mindset, as well as a proactive and hands-on approach, will be highly valued in this role.

In this role you will actively…

  • Support. You will support the CEO’s personal assistant. You will assist in preparing agendas, coordinating business travel, arranging meetings, booking venues, contacting partners, and managing various administrative tasks as well as follow up on meeting content and initiate next steps. You will also be the first point of contact for the CEO and team when the PA is traveling or absent.
  • Manage the needs of our Managing Directors within the corporate office and in collaboration with the CEO. E.g. arranging meetings, summarizing content agreements.
  • Interface. You will act as an interface between the CEO, the managing directors and the international entities.
  • Involvement. You will be involved in the company’s strategy, management, and related projects.
  • Overview. Oversee the annual plan and support document management and relationship management with other departments such as finance and human resources.
  • Execution. You will take responsibility for internal company events, from planning to execution as part of a team.
  • Coordinate the booking of all partner activities/ticketing such as invitation and delivery of tickets, as well as the organization of the framework
  • Shine. Develop excellent office standards and be the first impression for external clients to represent our act.3 brand and community.
  • United. You are a very strong team player who has the back of the Head Office team in all matters

  • Experienced. You have finished an apprenticeship in the field of office clerk, office management and/or you have experience in the field of Personal Assistant, Team Assistant or in a related area.
