Job Description: The British Embassy in Hungary is part of a world-wide network, representing British political, economic and consular interests overseas. It is now seeking a Residence Management Assistant.The main purpose of the role is to support the Residence Manager in the delivery of services at the Residence of His Majesty’s Ambassador to Hungary, helping to ensure the efficient and effective use of the Residence as the main events platform for the British Embassy, and the official home for the Ambassador and family, working closely with the Residence staff and the Embassy’s Executive Office.Roles and responsibilities:Residence Management

  • Maintain and update inventories for drinks, food, equipment and furniture at the Residence,
  • Purchase consumables for official use at the Residence using officially provided Corporate Credit cards and reconcile expenditure accurately,
  • Manage the cash box for ad hoc official cash purchases at the Residence, and ensure an accurate account of expenditure is maintained and the cash box payments are accounted for on a monthly basis at a minimum,
  • Supervise and escort as needed any contractors that need to come to and work at the Residence,
  • Liaise with the Embassy’s Facilities Management team for regular maintenance and ad hoc repairs at the Residence,
  • Manage the Residence database of contacts and contractors,
  • Manage any postal arrangements at the Residence,
  • Deal with regular suppliers on the delivery of goods and services at the Residence and identify and connect with new suppliers where necessary,
  • Carry out any ad-hoc tasks assigned by the Residence Manager,
  • Deputise for the Residence Manager during holiday periods.

Events planning and Execution

  • Preparation and organisation of the event incl. printing name cards, menu cards, event programmes
  • Liaise with all casual staff working at the Residence and ensure to have temporary employment contracts and details of these are maintained and promoted to the Residence Manager on a monthly basis to ensure prompt payment in line with Embassy policies,
  • Provide occasional stewarding services to support events at the Residence, as instructed by the Residence Manager,

Essential qualifications, skills and experience

  • Excellent English and Hungarian both verbal and written (minimum C1 level according to CEFR*) – language skills will be assessed;
  • A sound working knowledge of Microsoft Office applications (Word, Excel, Outlook, Teams and Edge);
  • Evidence of strong organisational, interpersonal and communication skills, with the ability to deal with a wide range of stakeholders;
  • Demonstrate excellent customer focus and a strong focus on delivering results;
  • Ability to work flexibly, depending on the needs of the Ambassador and Embassy team;
  • Availability to work flexible hours if required.

Desirable qualifications, skills and experience

  • Experience of stewarding and serving at dinners and events;
  • Event management, including effective budget forecasting and monitoring;
  • Experience of working, managing budgets and managing contractors, ensuring they deliver on time and on budget to the required specification.
